Templates
Templates (/admin/templates) is where you choose the signature everyone gets. A template is the layout: where the name, title, photo, logo and links sit. Your brand (logo, colour, links, disclaimer, banner) is set once on Brand and fills every template.
Choose your organisation default
Everyone signs with the organisation default unless a rule gives them something else (see Rules). Each card shows a sample person with every field filled in, so the templates look different from one another; to see a template with your own details and brand, preview it on Brand.
- Use for everyone makes a template the organisation default. It changes every signature except where a rule on Rules chooses another, such as a department's own template.
- Keep for everyone appears on the template you already have, until an admin has chosen. Press it when you are happy with that one: it finishes the Setup guide's step Choose the signature everyone gets.
Import your own HTML
Paste an HTML signature that uses {{merge}} tokens, give it a name, and press Preview, then Save template. signplume removes anything unsafe (scripts, event handlers, external styles, javascript: links), checks every token against your fields, and warns about anything it changed. The template is then assigned like any other. signplume adds its own dark-mode colours and image sizing to it. Its columns do not stack on narrow screens, so keep an imported template narrow. An imported template can be deleted, unless it is the organisation default.
Signature variants
A variant is a named alternative signature, such as a language ("Danish") or a style ("Short"), bound to a template. Give it a label, a key and a template, and press Add variant. A person can start with one as their default (set on People), and the Outlook add-in and the signature page let them switch per message. A recipient rule can also choose a variant, for example the Danish one for .dk recipients.
Department overrides
Give a department its own template; everyone else keeps following the organisation default. The department comes from your directory, so the table fills in once your people have one. In Google Workspace that is the Department field under Employee information; to give an organisational unit its own design, use its group design on Rules instead. Choose Signatures off for a department whose mail should go out with no signature at all.
