Handbook › Get signatures into mailboxes

Copy and paste into Gmail

Copy and paste works with any mail account and needs no connection to your mail platform: each person does it once, from their own signature page. For a whole Google Workspace organisation, Gmail push does it for everyone instead.

Open the signature page

A person reaches their signature page from their invitation, or by signing in to signplume. An admin can open anyone's from the eye button (View signature) on People. The page shows the signature exactly as recipients will see it, with a Copy signature button.

In Gmail on the web

  1. On the signature page, press Copy signature.
  2. In Gmail, open Settings (the gear icon) and choose See all settings.
  3. On the General tab, scroll to Signature and choose Create new, or pick the signature you already have.
  4. Click into the signature box and paste (Ctrl+V, or Cmd+V on a Mac).
  5. Under Signature defaults, choose it for new emails and for replies and forwards.
  6. Scroll to the bottom and choose Save changes.

Paste the signature itself, from the Copy signature button, not its HTML source. Gmail keeps the layout and loads the images over HTTPS through its image proxy.

When your organisation uses a shorter design for replies and forwards, the signature page shows two cards. Copy each into its own Gmail signature, and choose the shorter one under On reply/forward use.

After it is pasted

Press Mark it installed on the signature page; an admin can also press Mark installed on People. signplume cannot see a pasted signature, so it shows as copy and paste, marked installed, and never counts as signing. Marking one does finish the Setup guide's step Get signatures into mailboxes.

A pasted signature does not change by itself. After a new logo, a new job title or a new campaign banner, open the signature page again, copy and paste it again.
