Rules
Rules (/admin/rules) shows every way a person's signature is chosen, in one place and in the order signplume applies them. The rules with no other home are edited here; the rest link to the screen that owns them.
Priority order
When several could apply, the first match wins, top to bottom:
- Exception: signatures off for a person, a department or a group. Their mail is sent with no signature at all.
- Person: a template set for one person on People.
- Dated rule: a time-boxed template for the whole organisation.
- Recipient rule: a template chosen by who the message is going to.
- Group: a template for everyone in a directory group.
- Department: a template for a department, set on Templates.
- Organisation default, set on Templates.
- Classic, the built-in template, if nothing else applies.
Dated rules
A dated rule gives everyone one template for a while, such as a holiday card or an event. Give it a name, a template, and a start and an end date. Leave a date blank for an open end; dates are inclusive and read in UTC. While it is active it wins over recipient, group and department rules, but not over Signatures off or a person's own template. Each rule shows as Active now, Scheduled or Ended.
Recipient rules
A recipient rule picks the template from who the message is going to: any external recipient, internal recipients only, or recipients at a domain you name. A rule can name a signature variant instead of a template.
For "internal" to mean anything, list your own domains under the rule; until you do, every recipient reads as external.
Recipient rules need to know the recipients, so they apply only to mail signed by the Outlook add-in or the relay on Server-side signing. Gmail push and copy and paste put one fixed signature in place, whoever the message is going to.
Group overrides
Groups come from your directory: connect Google Workspace (with the group scope) or Microsoft Entra ID (with Group.Read.All), then press Sync groups. Google organisational units are listed here too, marked Google unit; they arrive with every directory sync, need no group scope, and include the units below them. Pick a template for a group and press Apply, or choose signatures off for everyone in it. A template for a group beats a department's and the organisation default, and sits below the recipient, dated and personal rules.
