Copy and paste into Outlook
Copy and paste works with any mail account and needs no connection to your mail platform: each person does it once, from their own signature page. For a whole Microsoft 365 organisation, the Outlook add-in does it for everyone instead.
A person reaches their signature page from their invitation, or by signing in to signplume. An admin can open anyone's from the eye button (View signature) on People. Every set of steps below starts there, with Copy signature.
The new Outlook for Windows and Outlook on the web
The two share one signature editor.
- On the signature page, press Copy signature.
- In Outlook, open Settings (the gear icon) and find Signatures: under Account in current versions, under Mail → Compose and reply in older ones.
- Choose New signature, give it a name, click into the editor and paste (Ctrl+V, or Cmd+V on a Mac).
- Under the default signatures, choose it for new messages and for replies/forwards.
- Choose Save.
Classic Outlook for Windows
- On the signature page, press Copy signature.
- In Outlook, go to File → Options → Mail → Signatures…
- Choose New, name the signature, then click into the Edit signature box.
- Paste (Ctrl+V).
- Under Choose default signature, set it for New messages and for Replies/forwards.
- Choose OK.
If the layout looks wrong, make sure you pasted into the Edit signature box, not as plain text.
Outlook for Mac
- On the signature page, press Copy signature.
- In Outlook, open Outlook → Settings → Signatures (Preferences in older versions).
- Choose + to add a signature, name it, click into the editor and paste (Cmd+V). Save it.
- Under Choose default signature, pick your account and choose the signature for New messages and for Replies/forwards.
Replies and forwards
When your organisation uses a shorter design for replies and forwards, the signature page shows two cards. Copy each into its own Outlook signature, and choose the shorter one for replies and forwards.
After it is pasted
Press Mark it installed on the signature page; an admin can also press Mark installed on People. signplume cannot see a pasted signature, so it shows as copy and paste, marked installed, and never counts as signing. Marking one does finish the Setup guide's step Get signatures into mailboxes.
A pasted signature does not change by itself. After a new logo, a new job title or a new campaign banner, open the signature page again, copy and paste it again.
