Setup guide
The Setup guide (/admin/setup, first in the admin menu) is where a new organisation starts. It lists the steps that get everyone's signature into their mail, in the order that works, and each step shows a status read from your organisation as it is right now, such as Confirmed, Not set or 2 people signing. Where you are, at the top, counts the steps that are done, need attention, are still to do or are optional.
Until your organisation's first signature is live (a channel has confirmed it, or one has been marked installed), the other admin screens show a bar naming the next step to do. You can hide it until you next sign in.
The steps
- Confirm your email address. We mail you a link when you sign up. Until you follow it you can set up your brand, templates and directory, but signplume sends no invitations: it does not mail your team for an address it has not confirmed. Lost the link? Press Send a new link on the step and a fresh one goes to your address. Any sign-in link we send you confirms the address too.
- Fill your directory. signplume renders one signature per person, from your directory. Add people one at a time or upload a CSV on People, or connect Google Workspace or Microsoft Entra ID so a sync keeps it up to date. The step is done once someone other than you is in the directory, or a sync is connected.
- Add your brand. Your logo, website and social links ride every signature. The step stays a to-do until a logo, a website or a social link is saved on Brand. If your company has none of these, skip it.
- Choose the signature everyone gets. Pick the template your organisation signs with on Templates. The step stays a to-do until an admin has picked one: Use for everyone on another template, a department override, or Keep for everyone on the template you already have all count. Previewing a template on Brand assigns nothing.
- Get signatures into mailboxes. The guide reads your domain's mail records and recommends one way: Gmail push for Google Workspace, the Outlook add-in with Entra ID sync for Microsoft 365, or copy and paste for anything else. The other ways stay listed, because the guess can be wrong. The step is done when a channel has confirmed one person's signature in real mail, or when a copy-and-paste signature has been marked installed on People.
- Invite your team. Each invitation is a single-use link to the person's own signature page, filled in from the directory and carrying your logo and colour. When Gmail push is on or you have created the Outlook add-in, nobody has to accept anything for their mail to be signed, so the step says Optional: invite people only if you want them to check their signature or keep their own details up to date.
One more step is always at the end:
- Optional: stamp signatures on the way out sets up the relay on Server-side signing. It says Not finished while credentials are issued but your mail platform's IP ranges are not registered, because until then the relay turns every message away.
And one appears only when it applies:
- Check that mail can actually leave shows only on a signplume server that cannot send mail. Invitations from such a server are neither delivered nor logged, so it comes before inviting anyone. Setting up outgoing mail is the job of whoever runs that server.
Skipping a step
Every step except Confirm your email address and Get signatures into mailboxes can be skipped. A skipped step drops out of the count and moves to a Skipped steps group at the bottom, with a button to restore it.
Notices above the steps
- When the trial has ended and your organisation is on the Free plan, a notice says so until you dismiss it with Got it.
- On the Free plan after the trial, at 4 or 5 people, a warning says what happens at the sixth person: nobody more can be added, by hand, by import or by sync, until you upgrade. See Billing.
