People

People (/admin/people) is your directory: everyone who gets a signature, with their details, their invitation and whether their signature has reached real mail.

Rollout: who is signing

The Rollout card counts how many people are signing: a channel has confirmed that their signature reached real mail. The Signing column says which channel and when:

  • Outlook add-in: the add-in fetched their signature in the last 30 days.
  • Server-side: the relay stamped their mail in the last 30 days.
  • Gmail push: Gmail accepted their latest signature.

The other states are not signing:

  • Copy and paste, marked installed: someone pressed Mark installed. signplume cannot see a pasted signature, so this never counts as signing.
  • Gmail push failed: Gmail refused the latest signature. The reason is shown, with a link to push again on Directory sync.
  • Not reached: no channel has seen their signature yet. If you know they pasted it in by hand, press Mark installed on their row.
  • Signatures off: turned off for the person, their department or their group.

The filters above the table pick out each group, and the search box finds people by name, email or department. The Seats meter beside the rollout shows how many people your plan covers; during the trial there is no cap.

Bring people in

  • Add a person: first and last name, work email, job title, department and phone, plus an optional photo (saved straight away, cropped to a square), social links and a booking link. Left blank, the social and booking links fall back to your organisation's on Brand. A new person joins the directory straight away; inviting them is a separate step.
  • Import your directory: a CSV with an email column and a name column (or first name and last name). title, phone and department are optional, but they are what the templates fill in, so leaving them out gets everyone a sparser signature. Headers are matched forgivingly, so E-mail and Job title land where you expect. Re-uploading is safe: rows are matched on email and updated in place, never duplicated. Rows with errors are listed and left out; the rest are imported.
  • A directory sync from Google Workspace or Microsoft Entra ID keeps the directory up to date on its own. It mixes with the CSV: both match people on email.

A person's email address cannot be changed here. It is the key people are matched on and what they sign in with, so a rename goes through your mail platform, or you add the new address and archive the old one.

Edit someone

The pencil on a row opens the person's details. Besides the fields above:

  • Aliases / send-as addresses: one address per line. Mail sent from any of them is signed as this person, such as a role address or a former name. Each must not belong to anyone else in your organisation.
  • Template: left on the default, the person follows their department's or the organisation's template. Pick one to give them their own. See Rules for the order.
  • Default signature variant: the named signature they start with. They can still pick another per message.
  • Signatures off for this person: their mail is relayed with no signature, the Outlook add-in inserts nothing, and their signature page explains why. Use it for shared or no-reply mailboxes.

Invitations and roles

Invite (or Resend, for a link that has expired or not been used) mails the person a single-use sign-in link to their own signature page. signplume sends no invitations until your own address is confirmed, and none to an address that has hard-bounced or complained (see Mail). With Gmail push or the Outlook add-in, nobody needs an invitation for their mail to be signed.

Once someone has been invited, the menu on their row sets their role:

  • Admin: everything, including people, billing and security.
  • Marketing: brand, templates, rules, campaigns and reports, but not people or billing.
  • Member: their own signature, and their own sign-in on Security.

The only admin of an organisation cannot be changed to another role.

Custom fields, self-service editing and missing data

  • Custom fields collect something beyond the standard set, such as a second phone or pronouns, as text, a link or a phone number. A template shows one with its {{custom.<key>}} token.
  • Self-service editing chooses what people may change about themselves from their own signature page. Everything else stays with admins, and a field you hand over is no longer overwritten by a directory sync.
  • Missing data lists people whose template shows a field they have not filled in.

Archive and delete

Archive takes someone out of your plan's count and retires their signature, and they can no longer sign in, but their history is kept. Archived people are listed under Archived, where you can restore them; restoring needs room on your plan. Delete permanently removes the person for good.
