Handbook › The admin screens

Mail

Mail (/admin/mail) answers "did that invitation actually go out?". It lists every message signplume has sent for your organisation, with what the receiving server answered, and the addresses it has stopped mailing.

The counts

Sent, Queued, Problems and Suppressed, over the recent mail. Anything wrong (a bounce, a suppression, a relay message that was given up) is raised above the log rather than mixed into it.

Recent mail

Each row is one message: when it was sent (in UTC), the address, what it was, the outcome and the receiving server's own reply. The messages include:

  • Invitation: sent from People.
  • Sign-in link: asked for on the sign-in page.
  • Address confirmation: sent when someone creates an account.
  • Payment failed: sent to your admins when a payment fails.
  • Message to support: what someone in your organisation wrote to signplume support from Help, or through their AI assistant.

The outcomes:

  • Sent: the receiving side accepted it.
  • Queued: held and not delivered, because the server had no outgoing mail to send it with.
  • Failed: the send itself failed.
  • Bounced: the receiving server reported it could not deliver it.
  • Marked as spam: the recipient reported it.
  • Stopped: not sent, because the address is suppressed.
  • Allowed again: an admin lifted a suppression.

Use All, Sent, Queued and Problems above the table to filter it. Delivery records are kept for 90 days.

Signature relay: delivery problems

This section appears only when something is wrong with the relay on Server-side signing: messages that had a signature stamped in and were then refused by your mail platform on the way back. The usual cause is the platform not being told to accept mail returning from the relay. Retrying messages are still being tried; Given up means the message was not delivered.

Suppressed addresses

A hard bounce or a spam complaint stops signplume mailing that address. Each suppressed person is listed with the reason. Allow mail again lifts it, and the change is recorded against your name, so do it only when you know the mailbox is real. A spam complaint never blocks a sign-in link the person asks for themselves; a hard bounce does.

If this screen warns that outgoing mail is not set up, nothing is delivered and nothing is logged, however many invitations you send. Whoever runs your signplume server has to set it up.
